Orders Overview
You can manage your orders from the Orders page in your Shopify admin. Order management includes viewing and tracking orders, processing payments, making changes to orders, and handling returns and refunds.
Viewing and creating orders
Search for orders by order number, customer name, or product details. Filter orders by fulfillment status, payment method, or date range. You can also create orders on behalf of customers for phone, in-person, or email sales. Draft orders let you add products, apply discounts, and send invoices with secure checkout links.
Processing and editing orders
Capture payments manually or automatically, review order details, and prepare orders for fulfillment. You can edit orders to add or remove products, adjust quantities, update shipping fees, or apply discounts. Print packing slips and invoices to include with shipments.
Managing returns and fraud
Create returns when customers want to send items back, and add exchange items when applicable. Issue full or partial refunds, or cancel orders entirely. You can set up return rules and activate self-serve returns so customers can submit return requests directly from their order status page. Review high-risk orders using Shopify's fraud analysis before fulfilling, and use Shopify Flow to automate your handling of potentially fraudulent orders.
Order Processing Steps
- Click "Orders" in the left hand menu.
- Select the new order.
- You will quickly be able to tell if the order if fraudulent, so do a quick check before proceeding. The fraud analysis is on the right hand side toward the bottom of the page.
- Scroll down to the bottom of the page to show the timeline. The only items that should be there so far are the notes saying the customer placed the order, the payment was authorized, and an order confirmation email was sent to the customer.
- Scroll up to the payment section. Payment can be captured at any time during the process. When the "Capture payment" button is clicked, either the whole amount due or a partial amount can be captured. Capturing the payment will add a note to the timeline and the amount that will be added to the payout.
- Scroll up to the top of the page. If cart notes have been enabled, look at the notes section on the top right hand side. If the customer has left any notes that should be taken into consideration when processing the order, they will be there. (i.e. Please leave the delivery at the side door.)
- Review the items in the order before proceeding:
- For a pickup order: The items should be collected before hitting the "Ready for pickup" button. This will send a confirmation email or text to the customer letting them know their order is ready to be picked up.
- For a delivery order: The items should be sent out for delivery before hitting "Mark as fulfilled" button. The shipping address provided is the delivery address. It is not necessary to create a shipping label. This will add a note to the timeline.
- Once a pickup order is complete, click the "Mark as picked up" button. This will add a note to the timeline.
- If the store doesn't have the setting turned on to archive orders automatically. Once an order is complete, go up to "More actions" at the very top of the page and click "Archive."
